  2. 2

    Assign the later records

Document tick boxes, owners, reporting periods and gaps across utilities, insurance and buildings.

  3. 3

    Plan around your operations

Four questions specific to your property type, plus the next action, owner and date.

For fillable fields, download the file and open it in a current PDF reader. Save your working copy before closing. Printing and completing it by hand works too.

Know what to gather, and when

You can inquire without financial attachments. The actual audit begins through the engagement process; the later document requests follow the OpX findings.

Initially: engagement and Accounts Payable

Accept the applicable engagement documents and provide twelve months of Accounts Payable reports. Confirm the period, entities and property mapping with the team. Discuss the export format and missing information before submitting.

Later: records requested after OpX findings

  • Electric, gas, water and sewer recordsAt least 24 months of bills and account information, as applicable.
  • Utility Letter of AuthorizationSigned authorization requested through the agreed engagement process.
  • Current insurance policies and declarationsIdentify the policy period and the responsible insurance contact.
  • Schedule of values and five-year loss runsDiscuss gaps or unavailable records with the team.
  • Available building and equipment recordsPlans, equipment schedules, benchmarking and compliance filings, where available.
  • On-site management contactIdentify who can coordinate access and operating requirements.

GreenStreet will confirm how to securely send records after the engagement is agreed. Do not submit confidential reports through the public inquiry form. A resource request does not accept an engagement or start an audit.
